Terms and Conditions

Wells Luxury Travel and your travel advisor are excited to help you with your travel. The following terms and conditions define the service delivery you can expect when working with us.

Wells Luxury Travel (“WLT”) and its advisors offer professional planning and booking services for our clients, which are provided by separate and independent vendors of travel services (“Suppliers”). WLT does not operate, control, or otherwise provide the services of the independent Suppliers. Hence, you agree that WLT and your travel advisor act only as an agent for you in acquiring the air and/or hotel accommodations, charters, land transportation, sightseeing and any other privileges or services for your benefit. You acknowledge and accept that our trip planning fees are non-refundable and that we charge hourly for our time and expertise.


WLT and your travel advisor assume no responsibility for and shall not be liable for any refund, personal injury, property damage, or other loss, accident, delay, inconvenience, or irregularity, which may be caused by Suppliers, or any other party not under WLT’s direct control.


Our Responsibilities – WLT recognizes the trust and faith you put in us to plan your travel. We will do our utmost to create and deliver the perfect trip for you. Our aim is to provide you with personalized attentive service. We will respond to your messages promptly and will keep you informed as your itinerary evolves. If at any time you have questions or concerns, we ask that you let us know immediately so we can address them.


Your Responsibilities - It is imperative that you provide any information we request in a timely and accurate manner. Please advise us of changes as quickly as possible to allow time for us to modify your itinerary.  The more we know about important details, the better we can manage on your behalf.  Information such as mobility issues, health, allergies, and any other specific preferences that are very important for your overall enjoyment are best shared as we want to understand your needs to serve you better and ensure your trip is designed as you like it.  

Travel Documents, Visas and Passports - It is your responsibility to ensure that you have a valid passport and meet all necessary entry requirements of the country or countries you will be visiting. These requirements vary by country and nationality and can change from time to time. It is advised to ensure your passport has at least 6 months validity of your return date of the trip. WLT is not responsible for delays, changes, or costs of any kind due to incomplete, expired or inaccurate traveller documentation. Some countries will require two to four blank pages for visa/stamps. WLT will do its best to inform travellers of these general requirements, but we ask that you contact the appropriate embassy(ies)/consulate(s) in your country of residence. Should a visa not be issued, WLT is not responsible for lost payments made toward contemplated trip. Please note that even when a visa is issued, a traveller may be denied entry since each country’s local immigration officials make the final entry decision.

Travel Insurance - We strongly recommend that you purchase comprehensive travel insurance.  WLT is licensed to sell travel insurance in British Columbia and we are an authorized retailer of travel insurance products. We mainly work with Allianz and Medjet but can also work with other select partners. We will be able to provide you with a custom quote upon request. If you chose not to purchase insurance through us, or have your own coverage, you may be required to sign a liability waiver to confirm we have offered it to you.


Pricing - You'll be provided with quotes for approval in writing. Availability and price quotes are applicable to the date and time at which they are requested and cannot be guaranteed until payment is made. Quotes in a foreign currency fluctuate with exchange rates and international payments may carry a foreign transaction fee.

Flights - We require your full name, as it appears in your passport(s) and date of birth, in writing in order to proceed with flight bookings. Please also notify us of your citizenship. We prefer to receive a copy of your passport photo page to ensure accuracy. 


Trip Cancellation - Your trip is subject to cancellation penalties depending on when you cancel. You will be advised of the cancellation policy at time of booking.  As well this information is documented on our booking confirmations.

Unforeseeable Changes to Your Trip - It is sometimes necessary (or recommended) that changes be made to your itinerary after it has been confirmed. This is most common when a third party (i.e. airline, hotel) makes changes that are beyond our control, such as a flight cancellation or schedule change. In other instances, changes may be necessary due to extreme weather or events in the region. We will always do our best to rework the itinerary in a way that minimizes changes to the flow and pricing of your trip. However, if the itinerary changes require us to re-price your trip you will be responsible for the difference in cost.

Cancellation Policies - Please pay attention to the small print, it is very important.  We will remind you at various stages as sometimes the policies are very strict, and it’s at the discretion of our travel partners. We also recommend Cancellation & Interruption Insurance to cover the unexpected.  We work with Allianz to offer the best coverage available.


Health - It is your responsibility to ensure that you have received all appropriate vaccinations. Please consult your doctor or visit a travel health clinic before travelling and take all necessary precautions.

Privacy - Your privacy is of outmost importance to us.  WLT is required to collect personal information (such as passport details) in order to plan your trip. We appreciate the sensitive nature of this information and will not share it with third parties (other than as required for booking air, hotel, or other reservations as a part of your trip) without your express written permission. 

Risks—Travel involves risks.  Trips off the beaten path and in developing countries can involve transportation, communication and healthcare standards that are different from what you get at home.  Medical facilities and services may not be readily accessible and may not be sophisticated.   The services provided by independent suppliers are subject to the laws of the place where the services are provided, and any conditions imposed by those suppliers. The liability of the independent suppliers may be limited by their tariffs, conditions of carriage, tickets and vouchers, and international conventions and agreements.

In addition and without limitation, Wells Luxury Travel is not responsible for any injury, loss, or death, or damage to property in connection with the provision of any goods or services whether resulting from, without limitation, to acts of God or force majeure, weather, quarantines, illness, disease, acts of war, civil unrest, insurrection/revolt, animals, labor unrest including strikes, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of means of transportation or travel delays, travel advisories or warnings.
